New Reporting Client in WebClient4

The electronic reporting requirement under the Tyrolean Tourist Tax Act of 2003 will apply starting November 1, 2025, to all accommodation providers in Tyrol who provide lodging to others in an accommodation establishment (hotels, vacation rentals, private rooms, private accommodations, and campgrounds). This means that the traditional paper guest register is now being replaced by a digital—and thus modern and user-friendly—system. Here you’ll find step-by-step instructions on how the registration process will work in the future.

 

How do I log in to the new MeldeClient?

  • Log inat http://webclient4.deskline.net/OTT/de/login using the business’s login credentials. Please use Firefox or Chrome.
  • If you no longer have your login credentials, simply contact the relevant tourist information office.

 

How do I register a new guest?

  • Select the “Guest Registration” option and then click on the “Guest Registrations” or “NEW” menu item.
  • Here, you can choose whether to make a pre-registration (data is already available, guest has not yet arrived) or to create a new registration form (guest is already here).
  • Next, select whether the guest is an individual or part of a tour group.
  • A new window will open where you can enter the guest’s information. The arrival and planned departure dates are important here. If the guest has stayed at the property before, you can search for the guest’s address using the magnifying glass icon on the right. (This requires that the address was saved during the guest’s first registration.)
  • If this is a new guest, you must enter the address manually; clicking “Save to Guest Addresses” will automatically add the address to the list of saved addresses.
  • The registration form automatically suggests 2 guests. If only 1 guest is arriving, be sure to DELETE Guest 2; otherwise, the system will automatically calculate the registration form for 2 people. Of course, you can add more guests by clicking the “Add Guests” button. (Maximum of 8 people)
  • Send guest exemptions directly to us, including supporting documentation
  • For “non-Austrians,” providing the ID number is mandatory
  • Additionally, you can use the “More Details” button to enter and save further information about the guest, if desired.
  • Once all data has been entered, you have three options for saving the registration form:

 

“Save Changes and Start Over”: This registration form is saved. A new, blank registration form opens so you can create another guest registration.

 

“Save Changes and Stay”: The registration form is saved but remains open so you can print it and/or the Welcome Card, make further changes, etc.

 

“Save Changes and Close”: The registration form is saved and the window closes.

 

  • Various data is displayed under the “Overview” menu item. Information about registration forms, PreCheckIns, etc.

Pre-Check-In

A key advantage of the MeldeClient is the pre-check-in feature. This feature allows you to receive guests' information before they arrive, thereby avoiding potential wait times during check-in.

 

In the WebClient, go to “Guest Check-in” and select “Pre-Check-In.” Choose the “Link Configuration” tab. Here, you’ll find two links: one to include in the booking confirmation email, and another for guests to fill out directly at the front desk, should you offer this option.

 

You can add a personal touch to the Pre-CheckIn interface by including your logo and host photo, changing the color, and adding an introductory and closing message.

 

Furthermore, you can specify which details from the travel document are required:

  • ID requirement for international guests
  • ID requirement for domestic/foreign guests
  • ID requirement also applies to traveling companions

 

Under the “Preview” section, you can check whether the changes are correct.

This is exactly how it will appear to the guest when they open the link.

 

As soon as the guest has filled out and submitted the information, you’ll receive an email with the details. This information is displayed in the WebClient under “Guest Registration” in the overview as well as under the “PreCheckIn” menu item.

Transfer data to the registration form

  • Click the blue box on the right and select "Details." A window will open showing the information the guest entered.
  • Check the information and then click “Save as a pre-registration.”
  • You can choose either “Save as a preliminary registration” or “Edit as a preliminary registration.”
  • You can print the pre-registration form before the guest arrives and have the guest sign it, or you can transfer the information directly to a registration form and then print it out for the guest to sign.
